A quote letter combines the formality of a commercial document with the closeness of a written communication. It’s not just a price table: it’s a proposal presented in letter format that explains, contextualizes and persuades the client before showing the numbers. That’s why it’s more effective than a simple list when the client needs to understand the value of what they’re buying.
What is a quote letter
A quote letter is a commercial document that presents a price offer structured as a formal letter. It includes a greeting, a body of text explaining the products or services offered, a table with detailed prices, commercial terms and a professional closing.
Main characteristics
- Epistolary format: has greeting, body text and closing
- Explanatory context: not only shows prices, but accompanies them with explanation
- Commercial structure: includes product table, payment conditions and validity
- Customizable: adapts to the tone and formality each client requires
When to use a quote letter
A quote letter is ideal when:
- The client formally requests the quote in writing
- You need to explain the service scope before showing prices
- You are participating in a tender or bidding process
- The client is corporate or government sector
- You want your offer to stand out among multiple suppliers
For quick or informal quotes, a simple table or WhatsApp message may be sufficient. But when the client asks for “a letter”, they expect to see the epistolary format.
Difference between quote letter and other formats
| Aspect | Quote letter | Formal quote | Simple quote |
|---|---|---|---|
| Format | Written letter with greeting and closing | Structured document with letterhead | Price table without text |
| Body text | Yes, explains the offer | Not always | No |
| Context | Yes, gives context to client | Partial | None |
| Formality | Medium-high | High | Low |
| Ideal use | Offers requiring explanation | Formal B2B transactions | Quick quotes |

Structure of a quote letter
A well-written quote letter has six parts:
1. Header and contact information
Company logo, name or business name, tax ID, address, phone and email. This identifies the sender.
2. Place and date
City and issue date. Example: “Mexico City, July 15, 2026”. The date is mandatory to establish validity.
3. Greeting and recipient
Client name, business name and position if applicable. Example: “Dear Mr. Juan Perez, Purchasing Manager of XYZ Company”.
4. Letter body
Introduction paragraph explaining the reason for the quote and the benefit to the client. Then, the detail of products or services in table format, followed by commercial conditions (payment, delivery, validity, warranty).
5. Professional closing
Thank you for the opportunity, invitation to contact for questions and formal closing: “Sincerely, [name and position]“.
6. Signature and sender data
Responsible person’s name, position, contact phone and email. This gives commercial validity to the document.

Quote response letter
When you receive a quote request and want to respond formally with a personalized letter, the structure should be:
- Thank the request and reference the date or request number
- Summarize what was requested to confirm you understood correctly
- Present the offer with the price table within the letter body
- Differentiators or advantages that distinguish you from other suppliers
- Clear and complete commercial conditions
- Call to action inviting to confirm or clarify doubts
- Formal closing with contact information of the responsible person
How to write a quote letter step by step
Step 1: Gather client information
Before writing, confirm full name, business name, position and address. A poorly addressed letter creates a bad impression immediately.
Step 2: Define the letter’s objective
Are you looking to close a direct sale? Is it a response to a formal request? Is it part of a tender? The objective defines the tone and structure.
Step 3: Write the letter body
Write an introduction paragraph explaining the reason for the quote and the benefit to the client. Then insert the product or service table with detailed prices.
Step 4: Add commercial conditions
Payment method, delivery deadline, offer validity, warranty and legal terms. Don’t leave them out: a letter without conditions is just a price reference.
Step 5: Close with a call to action
Invite the client to confirm, ask questions or schedule a meeting. A quote letter shouldn’t end without telling the client what to do next.
Step 6: Review and export to PDF
Verify spelling, correct names, calculated totals and consistent formatting. Always send in PDF so the document cannot be modified.

Common mistakes when writing a quote letter
Generic or incorrect greeting
Using “Dear client” or getting the recipient’s name wrong is a serious mistake. Always verify the recipient’s name, position and company.
Only prices without context
Presenting a price table without any paragraph explaining the offer makes the letter lose its reason for being. If you’re just going to send prices, send a simple quote, not a letter.
Without commercial conditions
Forgetting payment method, delivery deadline, validity and warranty leaves the letter without legal protection. The client could ask for the prices with any condition and demand compliance.
Closing without call to action
Ending with “Sincerely” and nothing else doesn’t generate responses. Always close with a clear invitation to confirm, call or meet.
Sending in editable format
Sending the letter in editable Word allows the client to modify prices or conditions. Always export to PDF before sending.

Frequently asked questions about quote letters
Does a quote letter have legal validity?
The quote letter has commercial validity as a formal offer. If the client accepts and signs it, it acquires contractual value. It doesn’t have fiscal validity as an invoice, but it does as a backup document for the commercial transaction.
Can I send a quote letter by email?
Yes, it’s the most common way to send it. We recommend writing the letter body in the email body or attaching it as PDF. If you use a Word quote template, export to PDF before attaching to keep the format intact.
What’s the difference between a quote letter and a quote request letter?
The quote letter is sent by the seller to the client to present their price offer. The quote request letter is sent by the client to the supplier to ask for prices. Both use epistolary format but in opposite directions.
What can I do if my quote letter doesn’t receive a response?
Wait 5 to 7 business days and send a follow-up email. Mention the quote by number and date, ask if there are questions and offer to adjust the proposal if necessary. Professional follow-up demonstrates interest and commitment without being pushy.
In which countries is the term “quote letter” used?
The term is common in Mexico, Colombia, Central America and Ecuador. In Argentina and Spain, “budget letter” is used more as an equivalent. In Peru and Bolivia it’s called “proforma letter”. The format is similar in all countries, changing the fiscal vocabulary (RUT, RFC, tax ID) as applicable. For your formal quote or proforma quote, check the specific guides for each document.

Frequently asked questions
What is a quote letter?
A quote letter is a commercial document written in letter format that presents a price offer for products or services to a potential client. Unlike a simple table quote, the letter includes a body of text that accompanies and gives context to the prices.
How to make a quote letter in Word?
To make a quote letter in Word, download an editable template, complete your company and client data, write the letter body explaining the offer, include a table with detailed prices, add commercial terms and save as PDF before sending.
What is the difference between a quote letter and a formal quote?
The quote letter includes a body of text in epistolary format (greeting, introduction, closing) that gives context to the offer. The formal quote is a structured document with letterhead, price table and legal terms, not necessarily in letter format. Both can coexist.
What should a professional service quote letter include?
A service quote letter should include: formal greeting, service introduction, work scope, table with broken-down prices, payment conditions, delivery deadline, offer validity, contact information and professional closing. If the service is complex, add an executive summary.
How to write a letter to request a quote from a supplier?
To request a quote in writing, clearly indicate the products or services you need, quantities, technical specifications, the deadline for the response and your contact information. Use a formal and professional tone. Include a greeting and a closing.
